2010 POLICIES for His Place Resort - PLEASE READ CAREFULLY

Our policies are designed to be fair to our customers, and still be able to operate our business.  The nature of our business is one where we rely almost entirely on reservations made in advance.  Once we accept your reservation, your accommodations, boat & motor, and / or guide are no longer available, and we turn away all other requests.  Unlike major hotels / motels - we do not overbook to cover such occurrences.  This policy is designed to completely protect you, our guides, and our business.  If you have any questions, please ask.

Guide Services Policy - Please note that all Guide Services must be booked through our office, and we thank you in advance for your cooperation.  If shuttle service is required due to low water or other river conditions, a $5 to $10 per boat gas surcharge will apply.  Guided Fishing trips cannot be rescheduled due to inclement weather.  We will fish in the rain, and wait out any lightning that may be in the vicinity, or return to the dock to do so if necessary.

John boat, Canoe & Kayak Rental Policies - FOG RULE – For your safety!!  Boats, Canoes & Kayaks may not leave until the trees on the west bank across from the dock can be seen clearly.  John Boats may leave no earlier than 7:30 AM, not before sunrise, Canoes & Kayaks not before 9:00 AM, and must be back in the dock, or pulled out of the water, one hour before sunset.  For boat & motor rentals, a full day is considered 8 or more hours, and a half day is 4 hours from the time you leave the dock.  (This does not apply to canoes, which only have one price.) Half-day rentals can typically start any time of the day, but we reserve the right to require either AM or PM depending on demand.

Boats, Canoes & Kayaks not back to the dock one hour before sunset will be charged $10 for each 10 minutes late.  Boat operators must be a minimum of 18 years of age.  Shuttle service is not available for the resort's john boats.  John Boat Capacity: 750 lb., persons + gear.  Canoe Capacity: 500 lb., persons + gear.  Kayak capacity: 300 lb., person + gear.  We reserve the right to determine safe capacity.  Never leave Boats, Canoes or Kayaks unattended on the banks at any time.

Guests Bringing Boats & Motors, and Canoes - Guests may bring their own boats & motors, or canoes if they wish.  For insurance reasons, guests must first sign a waiver before using the ramp.  In this area, it is generally recommended to use an 8 to 15 hp motor.

The White River has periods of high rushing water, and we advise you to wear a Coast Guard Approved personal floatation device when near the water or in a boat, canoe or kayak.  Do not put your boat, canoe or kayak in an inherently dangerous position such as being close to obstructions, letting out or dragging chains / anchors, or tying to trees or other objects during periods of high water.  Drag chains are not allowed.

You must understand that motors are mechanical devices, and can fail for any number of reasons, such as getting into large moss beds, air bubbles in fuel lines, running into gravel bars/other submerged objects, fuel problems, operator error, other mechanical failures, etc., and by renting from us you understand that when this happens, you must use the paddles to keep away from obstructions while signaling for help or troubleshooting the problem.

You are responsible for yourself and all parties in the boat or canoe with you, and do hereby hold blameless His Place Resort; its management, employees, & agents for bodily injury, death, loss of personal property, and any and all damages and / or expenses thereof, as a result of such activities.

You will be fully liable for damaged or lost equipment or other personal property belonging to His Place Resort, and give us permission to make assessments as to the extent of property damage, including boat, prop, motor, canoe, etc., and apply appropriate charges.  A Visa/MC is required for all boat/motor & canoe rentals.  Minimum charge for a sunken john boat is $2000.

NON-Smoking Policy – The vast majority of our guests insist on non-smoking accommodations, and we have listened to you! Therefore, we respectfully request that guests do not smoke inside any of the units, which are all clearly marked with no smoking signs.  Due to the additional costs of cleaning a unit that has been smoked in, we have no other choice but to apply additional charges to those who disregard our policy.  We apologize for any inconvenience, and thank you in advance for your cooperation.

Check In Procedures - All guests must check in at the office upon arrival.  For guests arriving after 8 pm, we’ll leave signs on both the Tackle Shop door (to point you to your room) and on the door to your room.  We’ll leave the light on for you and will see you in the morning.  :-)

Check in time is 3:00 PM.  If you intend to arrive before then, please notify us and we will make every attempt to have your lodging ready.

Check out time is 10:00 AM.  Due to staffing and the large demand for lodging, extending check out times is extremely difficult.  If possible, we will gladly accommodate late check outs with pre-authorization and availability - please just ask.  Otherwise, we respectfully request that guests honor our check out times.  Unless you have received pre-authorization for a late checkout, a fee of $25 will apply after 10:30 AM, $50 after 11:30 AM, $75 after 12:30 PM, and the weekend rate for a full night after 1:30 PM.  If we have guests arriving for your room, we may have no other choice but to enter your room & clean it – your belongings would be moved to the office.

Weekend and Holiday Minimums - Weekend bookings require a two (2) night minimum stay and both (2) nights will be charged at the higher weekend rate.  If a reservation includes a Friday or Saturday night, it is considered a weekend visit.  Holiday bookings require a three (3) night minimum stay and all three (3) nights will be charged at the higher weekend rate.  Units #11 & #12 always have a 2 night minimum and 3 night minimum for holidays.

Deposits - It is our general policy not to accept up front deposits, although we do have cancellation fees.  We require a Visa/MC for booking all reservations, but your credit card is not charged prior to your arrival.  We regret that we cannot accept advance payment by check in lieu of having a Visa/MC on file.  Upon departure, you may pay with cash, traveler's check, personal check or Visa/MC.  Bad Check Charge is $25.00.

Cancellations, Changes, No Shows & Early Departures- This policy does apply to all reservations in the case of inclement weather or varying river conditions.

Lodging, Boat & Other Rental Cancellation/Change Fee amount will equal the greater of 1 night / rental or 40% of booked nights / rentals for a cancellation or change 14 to 5 days prior to arrival or 21 to 8 days prior to arrival, depending on which unit was rented, or if multiple units are involved.  (see below.)  Guide Cancellation/Change Fee for full day and half day spin fishing trips will equal $130 per guide, and $250 for fly fishing trips.  Full price cancellation fees apply for lesser notice.  (see below)  Requesting a downgrade to a smaller unit inside your cancellation window is treated the same as a cancellation for the larger unit.  Cancellation fees against reservations using pre-paid gift certificates will forfeit appropriate amount from the value of the gift certificate.  There is a $12 charge for lost keys.

For rental of 1 unit / campsite - If cancellations or changes are made 15 or more calendar days prior to date of arrival, no problem.  If cancellations or changes are made 14 to 5 calendar days prior to date of arrival, you will incur cancellation/change fees if we cannot rebook your lodging / rentals / trips, or if we can rebook your lodging / rentals / trips, you will only incur a$25 fee.  No Shows, Early Departures, and Cancellations 4 days or less prior to arrival date will be charged full price for all reserved nights, all rentals, and guided fishing trips. 

For reservations booked inside the normal cancellation window:  Reservations booked 14 to 5 days prior to arrival will have one calendar day from making reservation to cancel or change.  Reservations booked 4 days or less prior to arrival are considered firm, and have no window to cancel or change.  Cancellation fees are calculated on regular rates, and are not subject to any discounts.

For rental of 2 or more units / campsites, & Units 11 & 12 - If cancellations or changes are made 22 or more calendar days prior to date of arrival, no problem.  If cancellations or changes are made 21 to 8 calendar days prior to date of arrival, you will incur cancellation/change fees if we cannot rebook your lodging / rentals / trips, or if we can rebook your lodging / rentals / trips, you will only incur a $50 fee.  No Shows, Early Departures, and Cancellations 7 days or less prior to arrival date will be charged full price for all reserved nights, all rentals, and guided fishing trips. 

For Reservations booked inside the normal cancellation window:  Reservations booked 21 to 8 days prior to arrival will have one calendar day from making reservation to cancel or change.  Reservations booked 7 days or less prior to arrival are considered firm, and have no window to cancel or change.  Cancellation fees are calculated on regular rates, and are not subject to any discounts.

Damages - You are responsible for leaving your accommodations in the same condition (with normal use) as it was found when you arrived.  The same is true for the boat & motor, and all other rentals.  The minimum charge for a sunken john boat is $2000.  The guest booking the reservations is ultimately responsible for paying for damages should someone in his party fail to do so.  This applies to any and all damages found during and after your departure.  Should we find any unusual damage after your departure, an itemized invoice will be sent and your credit card will be charged appropriately.

No Pet Policy – Too often, the “perfect pet” at home is something entirely different in a new environment.  For reasons ranging from safety, consideration for other guests, liability, and property damage, we regret that we do not allow pets anywhere on the property, neither in our lodging, nor in the campsites.  Pets cannot be kept at the resort in your vehicle, either.  There will be a minimum $200 charge for undeclared pets, and additional damages charged if necessary.  There will be no exceptions to these policies except for service animals.
